Supporting time critical document movement, remote equipment delivery and multi-location coordination
As legal firms continue to adopt hybrid and remote working models, the reliance on physical logistics has not reduced. It has evolved, becoming more fragmented, more time critical, and more exposed to failure.
Firstpoint supports a multi-office legal firm with the movement of equipment, documents and sensitive materials between offices, homes and third-party locations.
This forms a core part of the firm’s day to day operations. Any delay, miscommunication or loss of control would directly impact the progression of time sensitive legal work.
The challenge
Hybrid and remote working introduced consistent ongoing operational pressure across the firm.
Key issues included:
▸ Urgent IT equipment failures preventing lawyers and partners from completing time sensitive work
▸ The need to deploy work from home equipment and office furniture at short notice
▸ Ongoing upgrades, replacements and reconfigurations of remote setups
▸ Physical legal documents requiring signing and witnessing across multiple locations
▸ Tight completion timelines where delays were not acceptable
In addition, documents often needed to move in a specific sequence between individuals, with full accountability at each stage.
Standard delivery services could move items, but they are not designed to provide the level of control required for time sensitive legal work.
They could not reliably support:
▸ Ensuring documents are signed in the correct order across multiple locations
▸ Secure handling to residential addresses
▸ Real time coordination and intervention if instructions changed
▸ Consistent visibility and communication across connected movements
▸ Support for time critical signing processes, including witnessed handovers
The risk was not delay alone. It was loss of control across critical legal processes.
The solution
Firstpoint provided a structured, responsive logistics solution designed to maintain operational continuity across the firm’s hybrid working environment.
Remote equipment deployment and recovery
IT equipment, office furniture and work from home setups were delivered directly to lawyers as required. This included urgent replacements following equipment failure, as well as planned upgrades and changes. Faulty or redundant equipment was collected at the same time to avoid disruption.
Time critical document movement
Documents were moved between offices, homes and third-party locations to meet specific signing and witnessing requirements. Routes were planned to ensure documents reached the right individuals in the correct order, with each handover confirmed and accounted for.
Where required, drivers remained on site to oversee document signing, acting as a witness where necessary and ensuring no delays between stages.
Centralised operational control
All activity was managed through Onepoint, providing a single point of control across all movements. This allowed for real-time tracking, live updates and immediate response when instructions or priorities changed.
Secure handling to residential addresses
Sensitive legal materials were delivered to home addresses using vetted drivers and dedicated transport. Each delivery was managed with confirmed handover and clear accountability, ensuring the same level of control outside traditional office environments.
This ensured the firm could continue operating without disruption, even as working patterns became more complex and distributed. Legal work progressed as planned, with deadlines met and client commitments maintained.
Ongoing support
Firstpoint continues to support the firm as a logistics partner, providing responsive coordination for time-critical movements and adapting to changing operational demands.
As hybrid working evolves, so does the complexity of the requirement. Equipment deployment, document execution and multi-location coordination remain ongoing, with the control desk providing continuous oversight and rapid response when priorities shift.
